How Packaging Buyers Can Prepare a Clear Custom Box RFQ
Packaging buyers often lose time during custom box sourcing because the first request is too broad. A useful request for quotation does not need to be long, but it should make the packaging purpose, product fit and review process clear enough for a supplier to respond with practical questions.
This checklist is written for brand owners, sourcing teams and ecommerce operators comparing custom packaging options for cosmetics, gift sets, consumer products and retail packaging projects.
1. Start with the product and sales channel
Before choosing a box structure, buyers should define what the package needs to protect and where it will be sold. A skincare jar sold online may need a different insert and outer carton than the same jar displayed in a retail set. A gift box for a premium set may require a rigid structure, while a lightweight ecommerce product may work better with a folding carton or corrugated mailer.
Useful details include product dimensions, approximate weight, whether the product is fragile, how many units sit inside one package, whether the product is shipped individually, and whether the package needs to stand on a shelf.
2. Choose the structure before discussing decoration
Surface finish is important, but structure normally comes first. Buyers should decide whether they need a folding carton, rigid gift box, paper tube, clear PET/PVC box, corrugated mailer, sleeve, tray, insert or a combined structure. If the structure is uncertain, the RFQ can describe the product and ask the packaging supplier to suggest two or three safe options for review.
For premium products, inserts and closures should be discussed early. Foam, paperboard, molded pulp, EVA or other insert directions may affect both presentation and protection. Closure style, opening direction and product removal experience also influence the final packaging design.
3. Prepare artwork and branding expectations
Even when final artwork is not ready, buyers can describe the brand direction. Useful information includes the number of colors, whether logo placement is fixed, whether the design needs a matte or glossy surface, and whether special finishing such as foil stamping, embossing, debossing, spot UV or soft-touch lamination is being considered.
The supplier should not be expected to confirm color accuracy or production details from a vague screenshot. A clear dieline, reference photo or product drawing makes the review more reliable.
4. Discuss quantity and sampling as review items
Quantity affects material planning, printing method and cost structure, but fixed terms should not be assumed before the project is reviewed. Instead of asking only for a lowest number, buyers should explain the expected launch stage, first order plan and whether the package may be reordered. Sampling requirements should also be described, including whether the buyer needs a white mockup, printed sample or structural sample.
5. Keep compliance statements specific
Packaging projects may involve different destination markets and product categories. Buyers should avoid assuming that one general statement covers every use case. If documents, certificates or material declarations are required, they should be requested by name and checked against the actual product, material and market.
6. Use a short supplier-intake checklist
A practical first message can include:
– Product type and dimensions
– Target market and sales channel
– Preferred packaging structure
– Quantity range for review
– Artwork status
– Surface finish ideas
– Insert or protection needs
– Any document requirements to be checked
– Website or product reference
