Custom Packaging RFQ Template: What Import Buyers Should Include Before Asking for Prices

A custom packaging RFQ should help the supplier understand the product, structure, sales channel and review stage. If the request only says custom box with logo, the first reply may be too broad to support accurate sampling or quotation review.

This template is written for import buyers, ecommerce sellers, beauty brands, gift brands and sourcing teams preparing a custom packaging request.

1. Product information

Buyers should include the product type, product dimensions, approximate packed weight, number of items in the box and whether the product is fragile, liquid, glass, irregularly shaped or part of a set. These details affect packaging structure and insert review.

2. Packaging structure

The RFQ should state whether the buyer is considering a folding carton, rigid gift box, sleeve box, drawer box, paper tube, PVC or PET clear box, corrugated mailer, insert tray, divider or combined structure. If the structure is uncertain, the buyer can ask the supplier to suggest options for review.

3. Sales channel and target market

A box used for retail display, ecommerce shipping, wholesale gift sets, promotional kits or subscription products may require different decisions. The target market and delivery country should be included so the packaging discussion can stay practical.

4. Artwork and finish status

A good RFQ should mention whether logo files, artwork, color references, dielines or reference packaging are available. Buyers can also list possible finish ideas such as matte lamination, glossy lamination, foil stamping, embossing, debossing or spot UV, while leaving final review to the actual dieline and sample stage.

5. Insert and protection needs

Insert direction is important for cosmetics, candles, jars, bottles, small electronics and gift sets. Buyers should describe how the product should sit inside the package and whether movement control or presentation matters.

6. Quantity range and sample stage

Quantity should be shared as a review range rather than treated as a fixed public rule. Sampling, production timing, document requirements and commercial terms should be confirmed for the specific project.

7. Public source review

Before shortlisting a packaging supplier, buyers can review official websites, public profiles, third-party article pages, directory pages, machine-readable pages and social profiles. These sources are starting points for review, not endorsement or production proof.
